Why do we need a communications protocol?
To better serve our members and keep all graduates and alumni members aware of events and activities that your Board and Committee Chairs are working on to continually improve your CELAA experience!
CEL-AA Communication Protocol and Procedure
Clear and consistent communication is the backbone of any good organization. In the strategic planning process for both the Center and the alumni we have identified communication as an area that needs improvement. The CEL-AA communication committee in conjunction with CEL Executive Director Tom Ulbrich has created the following simple communication protocol for the organization as a whole in an effort to streamline communication and eliminate confusion among the members.
All communication from alumni board subcommittees and individual association members directed to the entire CEL-AA membership must be submitted for prior approval to the CEL office and depending on the nature of the communication will be approved by the CEL-AA Communication Committee, the Advisory Board Chair, and/or the CEL Executive Director depending on the target audience.
All transmittal of notices, reminders and other information will be sent through the CEL office using the current member directory. The following procedures will be used for all communications activity going forward:
1. Communication Request must be made by filling out the “Com Request Form” available on the Resources Section of the CEL-AA website. Communication Request Form is then submitted to the CEL office where they will administer the approval process and eventual distribution to appropriate parties involved. The Com Request Form will require information such as:
a. Subject
b. Date
c. Time
d. Location
e. Draft Message
f. List to be sent to (members only, all graduates, board only, mentors/reactors only, individual classes)
g. Method of distribution (email, printed, postal mail)
h. Date of Initial distribution required and follow up dates
i. Posted to website (Y/N) as well as Expiration Date for removal
j. Need to track RSVP’s or responses
2. Message and layout must be approved by Board Chair and any member of the Communication Committee.
3. Upon approval by Chair and Communication Committee CEL office will execute transmission. Any information being sent to any list other than ACTIVE PAID CELAA members and program graduates must be approved by the Executive Director.
4. Courtesy copy will also be sent to Executive Director and the Requesting Sender.
5. CEL office will be responsible to collect and record any RSVP’s, etc.
